How do you connect WhatsApp to a CRM?
To connect WhatsApp to a CRM properly, you need the WhatsApp Business Platform (the API), not just the WhatsApp Business app. You then use your CRM's native WhatsApp integration, a messaging provider's connector, or an automation tool such as n8n that receives each message through a webhook, creates or updates the contact and conversation in your CRM, and sends replies and approved templates back to WhatsApp.

What to automate first
Lead capture: every new WhatsApp conversation creates or updates a contact and a deal, tagged with its source (a click-to-WhatsApp ad, a website button or a QR code).
Conversation logging: messages are saved to the contact's timeline, so anyone can pick up the thread.
Instant replies and routing: rules or an AI assistant answer common questions, collect details and assign the chat to the right person.
CRM-triggered follow-ups: a stage change sends the right template, such as a quote reminder, an appointment confirmation or a payment link.
Order and service updates: confirmations, delivery updates and reminders sent as utility templates.
Feedback: a short satisfaction check or review request after a deal closes.
Step by step: WhatsApp to CRM with n8n
Set up the WhatsApp Business Platform. In your Meta business portfolio, create a WhatsApp Business Account, add and verify your phone number, and create a system user access token for n8n.
Receive messages. In n8n, add WhatsApp credentials and a WhatsApp Trigger node listening for Messages. WhatsApp allows one webhook per Meta app, so use separate apps for testing and production.
Find or create the contact. Normalise the phone number to international format, search your CRM for it and create the contact if it doesn't exist. n8n has native nodes for HubSpot, Salesforce, Zoho CRM and Pipedrive, and the HTTP Request node covers any CRM with an API.
Log the conversation as a note or activity on the contact, and open a deal for new enquiries.
Decide the reply. Use simple rules for common requests, or n8n's AI Agent node grounded in your FAQs and product data for free-form questions. Hand the chat to a person whenever the assistant isn't sure.
Send the reply with the WhatsApp Business Cloud node: a normal message inside the 24-hour customer service window, or an approved template outside it.
Go the other way. Have your CRM call an n8n webhook when a deal changes stage, and send the matching template to the customer.
Respect consent. Store each contact's opt-in status in the CRM, check it before any business-initiated message, and process opt-out requests automatically.
WhatsApp rules and costs in 2026
Per-message pricing. Since 1 July 2025, Meta charges per delivered template message rather than per conversation. Marketing, utility and authentication templates are charged at rates that vary by country.
Free messages. Replies to customers within 24 hours of their last message are free, utility templates sent inside that window are free, and conversations that start from click-to-WhatsApp ads get a 72-hour free entry window.
Opt-in and templates. You need a person's opt-in before messaging them first, and templates must be approved by Meta.
AI assistants. Since 15 January 2026, general-purpose AI chatbots aren't allowed on the WhatsApp Business Platform, but business-specific assistants for support, sales, lead qualification and bookings are.
Sending limits. New numbers can start conversations with a limited number of people per day, and the limit rises as you keep message quality high.
Data protection. Treat chat logs as personal data under GDPR, the UAE's data protection law or your local equivalent: collect only what you need and control who can see it.
Which CRM works best with WhatsApp?
Any CRM with a good API can work with WhatsApp through n8n, including HubSpot, Salesforce, Zoho CRM and Pipedrive.
